Property Manager's Turnover Checklist for Offices and Businesses

The days between one tenant moving out and the next moving in are when a property manager either protects their asset or loses money on it. A space that isn't properly turned over leads to complaints on day one, disputes over deposits, and longer vacancies. A space that is turned over right rents faster and keeps tenants happier.

Here's a checklist for turning over offices and commercial spaces in the Treasure Valley.

Start With a Move-Out Inspection

Before anything gets cleaned, walk the space with a camera and a checklist. Document the condition of every room: walls, floors, ceilings, fixtures, windows, and appliances. Note anything beyond normal wear and tear. This protects you in deposit disputes and gives your cleaning crew a clear punch list instead of a vague "clean it."

Deep Clean Every Room

A turnover clean is not a routine janitorial visit. It's a top-to-bottom reset:

  • Offices and open areas: Dust every surface including vents, light fixtures, and window sills. Wipe down all walls where scuffs and marks have built up. Clean inside closets and storage areas tenants forget about.

  • Restrooms: Full deep clean — grout scrubbed, fixtures descaled, dispensers cleaned inside and out, partitions wiped down. Restrooms are where new tenants judge the whole space.

  • Break rooms and kitchens: Clean inside microwaves, refrigerators, and cabinets. Degrease around cooking areas. Scrub grout and wipe every handle and switch.

  • Common areas and hallways: These get overlooked because nobody "owns" them. They need the same deep treatment — floors, walls, fixtures, and all.

Floors: Repair, Refinish, or Replace

Floors tell the story of the last tenant. Carpet should be extracted at minimum — and replaced if it's stained beyond recovery or smells like the previous tenant's break room. Hard floors need stripping and re-waxing or a full refinish if the finish is worn through. A new tenant walking on tired floors assumes the whole building is neglected.

Walls, Paint, and Fixtures

Scuffed walls and chipped paint are the cheapest fix with the biggest visual payoff. Touch up paint where needed and do a full repaint if the space has been occupied for years. Check every light fixture — replace burnt bulbs, clean covers, and make sure switches and outlets all work. A flickering fluorescent in a new tenant's office is a complaint waiting to happen.

HVAC and Filters

Change the filters and vacuum the vents before a new tenant moves in. The last tenant's dust shouldn't be the first thing the new one breathes. If the space has been vacant for a while, run the system and check for odors or issues before showing it.

Keys, Locks, and Access

Rekey or reprogram locks between tenants — this is a security basic that should never be skipped. Check that all keys, fobs, and access codes are accounted for, and that alarm codes have been changed. Confirm the new tenant has working access to every area they're leasing, including storage and parking.

The Full Turnover Checklist

  • Move-out inspection completed with photos and written notes

  • Full deep clean of every room, including closets and storage

  • Restrooms deep cleaned: grout, fixtures, dispensers, partitions

  • Break room appliances cleaned inside and out

  • Carpets extracted (or replaced); hard floors stripped and re-waxed

  • Walls touched up or repainted; scuffs and marks removed

  • Light fixtures cleaned, bulbs replaced, switches and outlets tested

  • HVAC filters changed; vents vacuumed

  • Windows cleaned inside and out, including frames and tracks

  • Keys, fobs, and alarm codes changed and accounted for

  • Common areas, hallways, and stairwells deep cleaned

  • Trash and recycling areas cleared and washed out

  • Final walkthrough completed before the new tenant's move-in date

The Payoff

A thorough turnover does three things: it shortens vacancy time because the space shows well, it reduces deposit disputes because the condition is documented, and it sets the tone with a new tenant who walks into a space that feels cared for. Cutting corners on turnover costs more than doing it right.
